An email from any mail account can work.
All it takes is a simple email with an attached data file from any of the programs available at the College. The Copy Production Center will print the copies directly from the data file without first printing a master copy. Every copy becomes an original.
Addressing the email is simple.
With GroupWise, the name will show up in the address prompt when you type copy with first name prompts or center with last name prompts. From outside of the College, address the email to copy@mc3.edu.
The Subject of the email should be the DATE THE WORK IS NEEDED.
Nothing fancy there. Attach a filled-in version of Copy Production Request form to ensure accurate production and distribution. You can find a copy of that form in the Copy Service folder on your Shared Drive (S or T). In a pinch, we can print without that form if you include certain basic information in the email, such as the number of copies, finishing information (two sided, staple, three hole punch, folds, etc.), and where and when we should deliver the finished copies at the College. If you send the file from a non-college email account, please make sure to give us your college email account name as well. Be sure to attach your data file!
Delivery turnaround?
Our goal is 24 hours. Very large jobs, those over a thousand sheets, can take longer. During peak times at the start of the semester, production jobs could take a bit longer, as well. We reply with a confirming email when the job is finished. The copies are delivered to the buildings during the twice daily mail runs. We use the daily courier service to West Campus and actual delivery there may be a little longer.
Hardcopy reproduction services are still available.
They may be submitted by interoffice mail, dropped off at the PH Information Center, or left in the drop box outside of Production on the First Floor of the Science Center. Be sure to use a Copy Production Request form for hardcopy requirements. Please use paper clips, not staples, on the originals. Also, we will not put any papers containing White-Out into our machines. Correction tape is ok unless it has multiple layers. Total processing times are longer on hardcopy reproduction services due to the extra handing required with the originals.
Remember that the College's policy is for two sided, black and white printing. That is how the job will be printed unless otherwise specified.
Color printing is available for small quantity projects.
Typically, this is permitted when color really is essential and helps to clarify the content. We can do jobs that have just a few color pages mixed in with a lot of black and white pages. Make sure to use the comment section of the form to indicate any pages to print in color. Large volume color reproduction may require department approval and will likely lead to delays in completing the production.
Transparencies
The new multifunctional devices will print transparencies that are laser rated and do not have peel-off labels. Do not use questionable transparencies in any of the College’s machines. Transparencies can be printed in the Copy Production Center if you provide the stock.
Scanning
All of the new multifunctional devices can scan documents and send the results as PDF or TIF file attachments to any email address. Surprisingly, this is a SEND tab function of the devices, not a Scan tab function. Instructions are posted near the machines. You can use this feature to send your legacy documents to your computer and then incorporate those documents and handouts into updated computer files.
